We’re looking for committed Accounts Payable Assistant to join our team.

  • Process invoices and record in Quickbooks.

  • Pays vendors by monitoring discount opportunities, verifying federal id numbers, scheduling, and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.

  • May be required to process check requests and tax payments, ensuring all appropriate approvals have been received.

  • Maintain 1099s.

  • Respond to all vendor inquiries.

  • Reconcile vendor statements and research and correct discrepancies.

  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.

  • Assist in month end closing.

  • Assist with other projects as needed.

  • General office administrative duties supporting CEO, President and CAO.

What you'll need to succeed:

  • Knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures

  • Ability to communicate effectively verbally and in writing

  • Ability to interact with employees and vendors in a professional manner

  • Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness

  • Responsible for all finance related filing – including all paper files as well as filing electronically on the server

  • Detail-oriented, professional attitude, reliable

  • Possess strong organizational and time management skills and attention to detail

  • Strong problem-solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills


  • 2+ years of Accounts Payable/ Receivable experience or equivalent

  • High School Diploma or Equivalent

  • College Preferred

  • 1-2 years QuickBooks experience required

  • Advanced knowledge of Microsoft Office, Especially Excel

  • Visual/hearing ability sufficient to quickly analyze and comprehend written/verbal communication and all business documents is required.

  • Must possess the ability to manage stress as it related to the job functions described herein

$38,000.00 to $40,000.00 /year; eligible for overtime
